Sales Coordinator

What will you be doing?
· Answer and distribute inbound phone calls to the sales and events office. Communicate with existing and prospective clients via telephone, personal contact, outside calls, correspondence, email and other means of communication.
· Conduct hotel site tours and represent the property at industry events, and networking opportunities to generate business and promote hotel services and facilities.
· Assist in the preparation of proposals, contracts, correspondence, and sales documents in a timely, accurate, and professional manner.
· Coordinate event details and logistics with clients and internal departments to ensure all requirements and expectations are communicated and executed successfully.
· Create and manage event orders, reports, diagrams, and related documentation, ensuring accuracy and adherence to established deadlines.
· Maintain expert knowledge of hotel facilities, meeting space, event setups, capacities, and operational requirements, including creating event diagrams through designated software platforms.
· Assist with the booking, planning, and execution of internal meetings, events, and special projects as assigned.
· Participate in operational, departmental, business review, and pre-event meetings to facilitate communication, planning, and service excellence.
· Support guest satisfaction and client retention efforts through proactive follow-up, post-event communication, issue resolution, and relationship management.
· Support sales and marketing initiatives, including content creation, photography, adherence to brand standards, company policies, and performance of additional duties as assigned.

What do you bring to the role?
· High school diploma required; college degree in hospitality, business, event planning, or a related field preferred. Equivalent hotel sales or event planning experience may be considered.
· Strong communication, customer service, and interpersonal skills, including the ability to effectively interact with clients, guests, and team members both verbally and in writing.
· Ability to professionally handle guest and employee concerns by demonstrating empathy, problem-solving skills, and a commitment to service excellence.
· Proficiency in Microsoft Office applications, particularly Word and Excel; experience with Marriott systems and event management software preferred.
· Strong organizational skills with exceptional attention to detail, accuracy, and the ability to manage multiple priorities and deadlines.
· Analytical and mathematical skills necessary to calculate room blocks, event costs, budgets, forecasts, rates, and other sales-related metrics.
· Ability to learn and understand hotel operations, event spaces, market segments, facilities, menus, and sales strategies to effectively support clients and business objectives.
· Ability to conduct hotel tours, attend client meetings, represent the hotel professionally, and travel for outside sales activities as needed.
· Ability to accurately enter, retrieve, and manage information while maintaining professionalism, strong telephone etiquette, and responsiveness to client inquiries.
· Ability to work a flexible schedule, meet departmental sales and financial objectives, and perform the physical requirements of the role, including standing, walking, and moving throughout the property as necessary.
